Accessing Documents

Centralizing shipment paperwork helps reduce manual tracking, ensures compliance, and improves team collaboration.

Description Summary

Rose Rocket auto-generates key documents for each order, but you can also upload and manage additional paperwork—like BOLs, PODs, and custom files—right within the order record.

User Segment

Brokers, Carriers, Admins, Managers, Operations

How It Works

  1. Open an Order
Navigate to the Orders module and select the order where you want to manage documents.
  2. Access the Documents Tab
Click into the Documents tab on the left-sidebar. This section will show all generated and uploaded files associated with the shipment.
  3. Click "Upload"
Choose the file from your computer then select a document type from the dropdown (e.g., POD, BOL, Invoice)

Use Case Examples

  • A dispatcher uploads a signed POD after a driver texts a photo from delivery.

  • A broker reviews the BOL generated by Rose Rocket before sending it to the customer.

  • An admin stores customer-specific documentation for future reference.

Best Practices

  • Upload documents as soon as they’re received to maintain a complete record.

  • Use consistent naming conventions for easier search (e.g., “POD – Order #1234”).

  • Review auto-generated documents before sharing with external stakeholders.

  • Select "Other" as the document type for non-standard or unique attachments.

Common Issues & Troubleshooting

Where to find the signed Rate Confirmation?
It should be in the Documents tab. However, you can also find it in the Activity Panel, where you’ll see a line that says “System added document – Signed Rate Confirmation”. Clicking this entry will open or download the file.

Can I upload multiple documents at once?
Not currently. Documents must be uploaded one at a time.

Can I delete an outdated or incorrect file?
Yes, but only if it's not an auto-generated document by Rose Rocket. Check off the box beside the document and you will see a delete button appear. Click delete then re-upload your document.
