Set up and manage user groups to simplify permissions and reduce repetitive tasks. Grouping users allows you to quickly assign visibility and share boards or workflows with the right teams—all in one click.

How it Works

  1. Navigate to Settings > Users, Roles, Groups
    In the sidebar, click Settings, then choose Users, Roles, Groups.

  2. Go to the “Groups” Tab
    At the top of the page, click into the Groups tab to view existing groups.

  3. Click “Create group”
    Give your group a clear name and description.

  4. Add Users to the Group
    Select users from the dropdown list to include in the group.

  5. Save the Group
    Your new group will now appear as a selectable option when sharing Boards.

  6. Manage Users within the Group
    In the group profile, click Users from the sidebar. Here you can add more users or delete users by checking the boxes beside the users you want to remove.
  7. Delete User Groups
    Navigate to Settings > Users, Roles, Groups. Check the box next to the group you wish to remove. You will then see a delete button show up.

Use Case Examples

  • Organize sales teams by region for faster communication and filtering.

  • Share a Dispatch Board with everyone in the "Dispatchers" group at once. When searching for users, you'll see the Groups in your list to share with multiple users in one selection.

Best Practices

  • Keep groups updated as team members join, leave, or change roles.

  • Create groups based on how teams collaborate (e.g., “Billing + Finance” or “East Coast Operations”).

  • Audit group memberships regularly—especially after hiring rounds, department changes, or off-boarding.

Common Issues & Troubleshooting

Do groups affect what a user can see or do in Rose Rocket?

No—groups do not impact permissions. Roles and individual permissions still control access.


Can a user be in more than one group?

Yes, users can belong to multiple groups, which makes it easy to organize by both role and location.
