Setting Document Permissions by Role

Using permissions to control who sees and interacts with specific document types.

Admins can control who sees and interacts with specific document types by assigning View, Upload, and Delete permissions for each user role. This helps protect sensitive documents and ensures smooth collaboration by clearly defining document access.

What This Feature Does

You can set permissions on each document type based on user roles. Permissions can be set to allow viewing, deleting, or uploading. 

How It Works

Step-by-Step Instructions

  1. Navigate to Settings

    • Go to Settings > Users, Roles, Groups

  2. Select a Role

    • Select the Role tab
    • Click on the role you want to manage (e.g., Driver, CSR).

  3. Set Document Permissions

    • Select the Documents tab, and click Edit.

    • For each document type, toggle the permissions:

      • View: Allows users to see documents.

      • Upload: Allows users to upload documents.

      • Delete: Allows users to delete documents.

  4. Save Changes

    • Click Save changes to apply your settings.

Uploaded documents are always visible to users who have uploaded them.

Documents that are automatically generated (e.g., Bill of Lading) are not deletable.

Example Scenarios

Use case: Sharing documents with drivers

  • Enable View permission for the Driver role on the document type (e.g., Commercial Invoice).

  • Upload the document and set the document type as Commercial Invoice.

  • The driver can now view this document in the Documents tab of their manifest on the mobile app.

Use case: Restricting access to financial documents

  • Disable View permissions for CSRs on financial document types (like Invoice or Pay Stub)

  • CSRs will no longer have access to these sensitive documents.

Drivers can specify document types when uploading documents, limited to those permitted by their role.
