QuickBooks Desktop Integration with Rose Rocket for Exporting Invoices and Carrier Bills

Integrating QuickBooks Desktop (QBD) with Rose Rocket simplifies the process of exporting invoices and carrier bills, reducing the workload for your accounting and back office teams. This article shows you how to set up the integration.

1. Start by connecting to your accounting software.

  • Log in to your Rose Rocket account.
  • Navigate to the Receivables Module: From the top right of your screen, click on the three-dot menu.
1 Following that, click on "Connect to accounting software".
 
  • Choose the option to connect with QuickBooks Desktop. 

2 Now, click on "Next".

 
  • This will prompt you to download and install the QuickBooks Desktop Web Connector.
3 Click on the element.

2. Next, follow the instructions on the screen to select your QuickBooks Desktop version. Your QBD version must be within the last 3 years.

  • Verify that you are ready to set up QuickBooks Desktop.

  • Install or verify that you have the Web Connector before proceeding.

3. Next, download the Web Connector certificate and verify it, which allows QuickBooks Desktop to exchange data with Rose Rocket.

  • Ensure you select 'Yes, always allow access even if QuickBooks is not running' to ensure your books are kept up to date

4. Let's export invoices to your QuickBooks Desktop.

  • With the Web Connector configured, you can now start exporting invoices and carrier bills from Rose Rocket to QuickBooks Desktop.
  • Review the Invoice Line Items and make sure to map the individual line items to the corresponding External Items in your QuickBooks Desktop software.

5. Next, select the corresponding customer profile from QuickBooks Desktop in Rose Rocket.

6. Finally, your invoice has been exported to QuickBooks Desktop! 

  • In the Data Panel on the right-hand side of your screen, scroll down to find the QuickBooks section.
  • You will find the ID number of the invoice from QuickBooks Desktop
  • The Invoice Export Status will be updated to Successful or Pending

If your invoice is in Pending status, here are a few tips:

  • Make sure that QuickBooks Desktop is open when you are exporting to ensure successful data transfer. The Invoice Export Status will remain Pending until QBD is turned on.

QuickBooks Desktop is available on Account Receivables - Tier 2 and Accounts Payable - Tier 2.
